The primary objective of the Office Administrator is to ensure the smooth daily functioning of the office, provide comprehensive administrative support, and manage basic Human Resources support tasks. This role ensures the office environment is organized and efficient for all staff. This position focuses purely on back-office administration, distinct from the client-facing duties of the Reception Executive.
Inventory Control: Manage the stock of essential office supplies (stationery, cleaning materials, tea/coffee provisions) and ensure timely procurement.
Maintenance Coordination: Coordinate the maintenance and minor repairs of office equipment (computers, printers, scanners).
Facility Oversight: Ensure the cleanliness, general order, and optimal functioning of the entire office space.
Petty Cash Management: Manage the Petty Cash fund and systematically organize bills for daily expenses.
Documentation & Filing: Provide assistance to the Operations Manager and Finance Team with filing and overall document management.
Utility Payments: Ensure all utility bills (electricity, internet, water) are paid accurately and on time.
Attendance Tracking: Track and manage employees' daily attendance records and generate monthly reports.
Onboarding Assistance: Assist in the onboarding process for new hires (e.g., Sales and Accounts Executives) by completing forms and arranging identification.
Leave Management: Manage and maintain employee leave records.
Logistical Support: Assist management with scheduling meetings and coordinating travel bookings (if required).
Information Flow: Coordinate with different departments to collect data or documents and relay them accurately to the Operations Manager or Finance Team
