*Job Summary:*
We are seeking an organized Receptionist to join our team. The successful candidate will be the first point of contact for our office , responsible for greeting visitors, answering phone calls, and providing excellent customer service along with some documentation.
The ideal candidate should possess good communication skills, a positive attitude, and the ability to multi-task in a fast-paced environment.
*Key Responsibilities:*
- Greet and welcome guests as they arrive at the office.
- Answer, screen, and forward incoming phone calls in a professional manner.
- Respond to visitor inquiries and provide relevant information about the organization.
- Manage appointment scheduling and maintain the calendar for department.
- Perform administrative tasks, including filing, data entry, and maintaining office supplies.
- Assist with mail distribution and handling outgoing correspondence.
- Ensure the reception area is tidy and presentable.
- Collaborate with other team members to support various departmental needs.
- Handle customer issues and provide solutions or escalate issues when necessary.
Qualifications:
- High school diploma or equivalent; additional certification in administration is a plus.
- Proven experience as a receptionist or in a similar role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to work independently and as part of a team.
- Professional appearance and demeanor.
- Familiarity with office equipment, such as printers, copiers, and scanners
