The Front Office Associate is the face of Espire Hospitality, responsible for delivering warm, efficient, and personalized service to all guests. This role handles check-ins, check-outs, guest inquiries, billing, and coordination with other departments to provide a seamless and memorable guest experience in accordance with Espire’s service standards.
Welcome guests with warmth and professionalism, ensuring a smooth check-in and check-out process.
Provide accurate information about hotel facilities, services, dining options, and local attractions.
Respond promptly to guest requests, concerns, and special requirements.
Uphold Espire’s guest experience standards, ensuring every interaction reflects the brand’s values.
Handle reservations, room assignments, and room key issuance.
Maintain updated guest profiles and preferences in the PMS.
Coordinate with Housekeeping to ensure room availability and readiness.
Manage luggage assistance requests by coordinating with Bell Desk.
Prepare and settle guest bills accurately.
Process payments, refunds, deposits, and folio adjustments.
Maintain proper cash control procedures and balance shift floats.
Relay guest requests and complaints to relevant departments and follow up for timely closure.
Liaise with F&B, Housekeeping, Engineering, and Security to deliver seamless guest service.
Maintain a professional, organized, and guest-ready front desk at all times.
Follow property safety protocols, emergency procedures, and data privacy norms.
Adhere to Espire Hospitality’s grooming standards, SOPs, and communication etiquette.
Ensure accuracy in documentation, registration cards, and compliance requirements.
Bachelor’s degree or diploma in hospitality (preferred but not mandatory).
Previous front office or customer service experience in hotels preferred.
Strong communication skills (verbal & written).
Familiarity with PMS software (e.g., Opera, IDS, etc.) is an advantage.
Pleasant personality, confident presence, and excellent interpersonal skills.
Ability to multitask and remain calm under pressure.
Willingness to work shifts, weekends, and holidays.
