The Front Office Executive will serve as the first point of contact for clients, visitors, and business associates of the firm. The role requires professionalism, discretion, excellent communication skills, and the ability to manage front desk operations efficiently in a legal environment.
Greet clients, visitors, and guests in a professional and courteous manner
Handle incoming calls, emails, and inquiries; direct them to appropriate departments or legal professionals
Schedule and coordinate client meetings, appointments, and conference room bookings
Maintain visitor logs and ensure compliance with office security protocols
Manage incoming and outgoing correspondence, couriers, and deliveries
Assist with document handling, filing, scanning, and basic record management
Support lawyers and staff with administrative tasks as required
Maintain confidentiality of all client and firm-related information
Ensure the reception area is clean, organized, and presentable at all times
Coordinate with housekeeping, IT, and vendors for smooth office operations
Monitor office supplies and place replenishment requests when required
Assist in organizing meetings, hearings schedules, and internal events
Provide accurate and polite information to clients regarding office procedures
Handle client concerns or waiting time issues with tact and professionalism
Uphold the firm’s brand image, ethics, and professional standards
Bachelor’s degree or equivalent qualification preferred
0–3 years of experience in front office / receptionist role (law firm experience is an advantage)
Excellent verbal and written communication skills
Professional appearance and demeanor
Strong organizational and multitasking abilities
Proficiency in MS Office (Word, Excel, Outlook)
Ability to maintain strict confidentiality and discretion
