Hotel Receptionist – Role & Responsibilities
Job Role: Hotel Receptionist / Front Desk Executive
Key Responsibilities:
Guest Check-in & Check-out
Welcome guests and complete check-in/check-out procedures.
Verify guest documents and booking details.
Allocate rooms and provide room keys/access cards.
Guest Service
Greet guests professionally and assist them with their queries.
Handle requests, complaints, and feedback politely.
Provide information about hotel facilities, services, and nearby locations.
Reservations & Bookings
Manage room reservations, cancellations, and modifications.
Coordinate with online booking platforms and travel agents.
Maintain updated room availability.
Front Desk Operations
Handle telephone calls, emails, and guest messages.
Maintain guest records and registration forms.
Manage keys, visitor entries, and front-desk documentation.
Coordination with Hotel Departments
Coordinate with Housekeeping regarding room cleaning and room status.
Coordinate with maintenance for repair/maintenance issues.
Inform management about important guest concerns.
Billing & Payments
Prepare guest bills and collect payments through cash/card/online modes.
Maintain daily front-office transactions.
Handle invoices and basic billing records.
Guest Complaint Handling
Listen to guest complaints and resolve them professionally.
Escalate serious issues to the manager when required.
Ensure guest satisfaction.
Safety & Security
Follow hotel security and emergency procedures.
Maintain confidentiality of guest information.
Report suspicious activities or incidents to management/security.
Shift Handover
Maintain proper records of pending tasks and important guest information.
Give a clear handover to the next shift.
Professional Appearance
Maintain a neat and professional appearance.
Demonstrate good communication, hospitality, patience, and customer-service skills.
