Key Responsibilities
1. Office Administration
Ensure smooth day-to-day office operations.
Manage office supplies, vendor coordination, and inventory tracking.
Maintain office infrastructure and coordinate maintenance when required.
Supervise housekeeping and facility management.
2. Asset & IT Coordination
Manage allocation and tracking of company assets (laptops, systems, ID cards, etc.).
Coordinate with IT for system setup, troubleshooting, and onboarding readiness.
Maintain asset register and ensure accountability during joining and exit.
3. Vendor & Facility Management
Coordinate with external vendors (internet, electricity, stationery, repair services).
Negotiate and monitor vendor contracts and service quality.
Process vendor invoices and ensure timely payments in coordination with accounts.
4. Employee Support
Support onboarding logistics (workspace readiness, system allocation, access).
Handle travel bookings, meeting arrangements, and event coordination.
Address administrative queries and resolve issues promptly.
5. Documentation & Compliance
Maintain records of agreements, contracts, bills, and administrative documents.
Ensure compliance with basic office regulations and statutory requirements.
Support audits and documentation when required.
6. Event & Internal Coordination
Assist in organizing internal meetings, client visits, and company events.
Coordinate logistics for conferences, roadshows, and leadership events if required.
Key Skills Required
Strong organizational and multitasking ability
Good communication and coordination skills
Basic knowledge of MS Excel, Word, and Google Workspace
Vendor negotiation and follow-up skills
High sense of ownership and accountability
