We are looking for a confident, organized, and proactive Receptionist/Clinic Administrator to be the face of our clinic and ensure smooth day-to-day operations.
Key Responsibilities
Front Desk & Patient Interaction
Welcome patients warmly and manage check-in/check-out processes.
Answer calls, respond to WhatsApp messages, and handle appointment scheduling efficiently.
Provide treatment-related information to patients (as guided by the dentist).
Handle billing, receipts, and maintain accurate financial records.
Maintain a calm and polite demeanor, especially during peak hours.
Clinic Administration
Manage daily clinic workflow, doctor schedules, and patient flow.
Coordinate with the dental assistant and dentist to ensure rooms are prepared and cases run on time.
Keep records of lab cases, follow-ups, and treatment plans.
Maintain the cleanliness and organized appearance of the reception area and common spaces.
Manage patient reminders, recalls, and follow-up communication.
Operational Support
Handle inventory tracking and coordinate with vendors for supplies and orders.
Maintain documentation, consent forms, and patient files securely.
Assist in basic digital tasks such as updating schedules, maintaining spreadsheets, and uploading reports.
Support marketing tasks (optional): reminding patients about feedback, posting updates, etc.
Required Skills & Qualifications
Previous experience as a receptionist or admin (healthcare experience preferred but not mandatory).
Excellent communication skills in English, Hindi, and Gujarati (as applicable).
Good command of phone etiquette and patient handling.
Basic computer skills: email, Excel, Word, appointment apps/software.
Strong organizational and multitasking abilities.
Polite, professional, and dependable.
