Tender Executive

We are seeking a detail-oriented and proactive Tender Executive to join our team. In this role, you will be responsible for managing end-to-end tendering processes, preparing Bill of Quantities (BOQ), tracking project costs, and processing client as well as subcontractor bills.

The ideal candidate has hands-on experience in the interior design, commercial fit-out, or turnkey execution industry, with strong analytical skills and proficiency in Excel and drawing interpretation.

Key Responsibilities

1. Tendering & Estimation

• BOQ Preparation: Review architectural and interior drawings to prepare detailed Bills of Quantities (BOQs) for residential, commercial, or retail projects.

• Tender Documentation: Track, download, and prepare tender submissions (RFPs/RFQs) ensuring compliance with technical and commercial requirements.

• Vendor Sourcing: Float inquiries to material suppliers and subcontractors, obtain quotes, and prepare cost comparison sheets.

2. Client & Subcontractor Billing

• Client Invoicing: Prepare and raise Running Account (RA) bills and final bills based on actual site measurements and agreed rate contracts.

• Measurement Verification: Verify physical site measurements against approved drawings and site engineer sign-offs.

• Subcontractor Bill Auditing: Check and process bills submitted by contractors (carpenters, electricians, HVAC, painters, etc.) against work completed.

3. Cost Control & Reconciliation

• Variation Statements: Identify, document, and submit extra/variation claims to clients for approval.

• Material & Cost Reconciliation: Conduct material consumption and cost reconciliations to monitor project profit margins.

• Outstanding Tracking: Coordinate with the finance/accounts team and clients to track pending payments and facilitate timely collections.

Candidate Requirements & Qualifications

• Education: Diploma or Degree in Civil Engineering, Quantity Surveying, Interior Design, or Commerce/Finance.

• Experience: 1 to 3 years of hands-on experience in billing and tendering within an interior design, architecture, or fit-out execution firm.

• Software Proficiency:

  • High proficiency in MS Excel (formulas, VLOOKUP, pivot tables).

  • Working knowledge of AutoCAD (ability to read, measure, and interpret interior execution drawings).

  • Familiarity with billing/accounting tools (e.g., Tally or ERP software) is a plus.

• Core Skills:

  • Solid understanding of interior finishing materials, rates, and execution processes (woodwork, civil work, MEP, loose furniture).

  • Strong numerical accuracy and analytical thinking.

  • Excellent verbal and written communication skills for vendor and client interaction.
