We are seeking a highly organized and creative Event Manager to oversee and execute a variety of events, ensuring their smooth planning and execution. The ideal candidate will have strong project management skills, excellent attention to detail, and the ability to work under pressure. As an Event Manager, you will be responsible for coordinating all aspects of event logistics, from planning through to execution and post-event evaluation.
Key Responsibilities:
Event Planning & Coordination:
Develop detailed event plans, including timelines, budgets, and resource allocation.
Collaborate with internal teams to define event objectives, themes, and goals.
Research venues, suppliers, and vendors to ensure cost-effectiveness and quality.
Coordinate event logistics such as transportation, accommodations, catering, and technical setups.
Budget Management:
Prepare and manage event budgets, ensuring events are executed within financial constraints.
Negotiate contracts with vendors, ensuring favorable terms and compliance with budget.
Team Leadership:
Oversee and lead the event planning team, delegating tasks and ensuring efficient workflow.
Coordinate with internal departments, suppliers, and other stakeholders.
Provide guidance and direction to junior staff, volunteers, or contractors.
Vendor & Stakeholder Relations:
Establish and maintain relationships with event vendors, suppliers, and stakeholders.
Ensure vendors deliver on their commitments and provide high-quality services.
On-Site Management:
Oversee the setup, execution, and teardown of events.
Supervise the event day operations, including managing staff, handling unexpected issues, and ensuring guest satisfaction.
Marketing & Promotion:
Work with marketing teams to promote events and increase attendee engagement.
Assist in creating promotional materials, online content, and social media campaigns related to the event.
Post-Event Activities:
Conduct post-event evaluations, gathering feedback from clients and attendees.
Provide detailed event reports, analyzing what went well and identifying areas for improvement.
Ensure follow-up actions are completed, such as sending thank-you notes or materials.
Qualifications:
Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field.
Proven experience as an Event Manager or in a similar event-planning role.
Strong knowledge of event planning software, project management tools, and office applications.
Excellent communication, negotiation, and interpersonal skills.
Ability to manage multiple tasks and priorities in a fast-paced environment.
Attention to detail and problem-solving skills.
Strong leadership abilities with the ability to motivate and direct teams.
Flexibility and availability to work outside of standard office hours, including evenings and weekends, as required.
Working Conditions:
The position may require travel to different event locations.
