Job Summary:
The Dispatch Coordinator is responsible for planning, coordinating, and monitoring the dispatch of finished goods to customers, distributors, and transporters. The role ensures timely deliveries, accurate documentation, proper inventory coordination, and compliance with company procedures to achieve high customer satisfaction.
Key Responsibilities:
Coordinate daily dispatch schedules based on sales orders and delivery priorities.
Ensure timely preparation and dispatch of customer orders.
Coordinate with the warehouse, production, sales, and transport teams for smooth dispatch operations.
Verify dispatch documents, including invoices, e-way bills, delivery challans, LR copies, and transport documentation.
Monitor vehicle loading to ensure correct quantity, product quality, and safe handling.
Track dispatched shipments and provide delivery updates to the sales team and customers.
Resolve dispatch-related issues such as delays, shortages, damages, or incorrect deliveries.
Maintain accurate dispatch records and update ERP/CRM systems.
Coordinate with transporters to optimize delivery schedules and freight costs.
Ensure compliance with company SOPs, safety standards, and statutory requirements.
Monitor pending orders and ensure timely dispatch.
Prepare daily, weekly, and monthly dispatch reports.
Support inventory reconciliation and stock verification activities.
Maintain effective communication with internal departments to ensure smooth order execution.
Required Qualifications:
Bachelor's degree in Commerce, Business Administration, Logistics, Supply Chain Management, or a related field.
2–5 years of experience in dispatch, logistics, warehouse, or supply chain operations.
Experience in pharmaceutical, FMCG, manufacturing, or distribution industries is preferred.
Required Skills:
Strong coordination and communication skills.
Knowledge of dispatch documentation and transportation processes.
ERP/CRM proficiency (SAP, Tally, Oracle, or similar systems).
Good planning and organizational abilities.
Strong attention to detail and documentation accuracy.
Ability to work under pressure and meet dispatch deadlines.
Proficiency in Microsoft Excel and MS Office.
Problem-solving and decision-making skills.
