We are looking for a Travel Desk Executive, who will be responsible for managing all aspects of corporate travel, including booking flights,ensuring cost-efficiency, policy compliance, and smooth travel experiences for employees and guests.
Key Responsibilities:
Travel Arrangements: Book domestic and international air tickets, train tickets, and bus travel as per company policy, Arrange hotel accommodations, local transportation, and visas (if applicable), Coordinate airport pickups/drops and other travel-related logistics.
Travel Planning & Itinerary Management: Prepare detailed travel itineraries and communicate to concerned employees, Ensure travel plans align with schedules and budgets.
Cost Optimization & Vendor Coordination: Liaise with travel agencies and hotel partners to get corporate rates, Negotiate discounts with vendors to reduce travel costs, Maintain relationships with travel service providers (airlines, hotels, cabs).
Billing, Reimbursement & Documentation: Maintain proper documentation for bookings, invoices, and expenses. Assist with travel-related expense claims and ensure timely reimbursements. Monitor travel budgets and prepare travel reports (monthly/quarterly).
Employee Assistance & Support: Provide 24x7 assistance to employees during travel in case of issues or emergencies, Rebook or reschedule tickets in case of cancellations or delays.
Policy Adherence & Compliance: Ensure all bookings are done as per company’s travel policy.
Keep updated with travel rules, COVID or visa guidelines, etc.
Record Keeping & Reporting: Maintain records of travel bookings and employee travel history, Generate MIS reports for management and audit.
Required Skills & Qualifications:
Graduation (any stream); preference to Hospitality, Travel, or Business graduates.
1–3 years of experience in travel desk or travel coordination.
Proficient in Microsoft Excel, Word, and email handling.
Familiarity with travel booking tools (e.g., Amadeus, Galileo, or online portals).
Excellent communication and coordination skills.
Ability to multitask, stay calm under pressure, and manage last-minute changes.
