Job Description

​Job Summary

​The Purchase Manager is responsible for the end-to-end procurement process for all raw materials, packaging, and indirect goods and services required for the company's food and dairy production. This role involves developing and implementing purchasing strategies, managing supplier relationships, negotiating contracts, and ensuring a continuous and cost-effective supply chain. The Purchase Manager works closely with various departments, including production, quality control, finance, and logistics, to meet business objectives and maintain high product standards.

​Key Roles and Responsibilities

​1. Strategic Procurement and Sourcing:

​Develop and execute strategic purchasing plans and policies that align with company goals for quality, cost, and delivery.

​Conduct market research to identify and evaluate new suppliers, ensuring they meet quality, reliability, and ethical standards.

​Source raw materials, ingredients (e.g., milk, sugar, flour, fruits), packaging materials, and MRO (Maintenance, Repair, and Operations) items.

​Analyze market trends, pricing fluctuations, and demand forecasts to make informed purchasing decisions.

​2. Supplier and Vendor Management:

​Identify, vet, and select new suppliers based on a predefined set of criteria (quality, price, reliability, sustainability).

​Build and maintain strong, long-term relationships with key suppliers and vendors.

​Conduct regular performance evaluations of suppliers, addressing any issues related to quality, delivery, or service.

​3. Negotiation and Contract Management:

​Negotiate contracts, prices, payment terms, and delivery schedules with suppliers to secure the best possible value.

​Prepare and maintain procurement reports, purchase orders, and supplier contracts.

​Manage and resolve any disputes or issues with suppliers in a timely manner.

​4. Inventory and Cost Control:

​Manage inventory levels to prevent shortages or excesses and reduce carrying costs.

​Implement cost-saving strategies without compromising product quality or production schedules.

​Track, analyze, and report on company expenditures and key procurement performance metrics.

​Manage the procurement budget and identify opportunities for continuous improvement and process optimization.

​5. Cross-Functional Collaboration:

​Collaborate with production and operations teams to understand material requirements and align purchasing activities with production schedules.

​Coordinate with the quality control department to ensure all incoming materials meet the company's quality specifications and food safety standards.

​Work with the finance team to ensure accurate invoicing and budget compliance.

​Liaise with the logistics and warehouse teams to ensure timely and accurate delivery and stock management.

​Qualifications and Skills

​Education: A Bachelor's degree in Business Administration, Supply Chain Management, Logistics, or a related field. A Master's degree (e.g., MBA) is often preferred for senior roles.

​Experience: Proven professional experience (typically 5+ years) in a purchasing or procurement role, with a strong background in the FMCG, food, or dairy industry.

​Technical Skills:

​Proficiency in procurement software and ERP systems (e.g., SAP, Oracle).

​Strong financial acumen and analytical skills for cost analysis and budgeting.

​Knowledge of supply chain dynamics and risk management.

​Understanding of food safety regulations and quality assurance standards.

​Soft Skills:

​Excellent negotiation and communication skills.

​Strong leadership and team management abilities.

​Problem-solving and decision-making skills.

​Attention to detail and a high level of accuracy.

​Ability to work in a fast-paced and dynamic environment.
