Identifying Requirements o Coordinate with chefs, kitchen staff, and management to determine the ingredients, beverages, and supplies needed. o Ensure demand forecasting based on menu, season, and expected customer flow. 2. Supplier Management o Source reliable vendors for food, beverages, cleaning supplies, and equipment. o Negotiate contracts, prices, and delivery schedules. o Maintain good relationships with suppliers to ensure timely and quality deliveries. 3. Quality Assurance o Verify the quality, freshness, and authenticity of ingredients and products. o Ensure suppliers meet food safety, hygiene, and regulatory standards. o Validating receipt of materials like quality, expiry dates etc. If found any discrepancy return the material to supplier and demand replacement. 4. Cost Control o Compare prices from different vendors to get the best value. o Monitor market trends and seasonal price fluctuations. o Avoid over-purchasing to reduce wastage. 5. Inventory Coordination o Work closely with the storekeeper or inventory manager. o Maintain optimal stock levels without overstocking or running out. o Implement First-In-First-Out (FIFO) for perishables. 6. Documentation & Records o Maintain purchase orders, invoices, delivery notes, and supplier agreements. o Track procurement expenses for budgeting and auditing. 7. Compliance & Safety o Ensure compliance with food safety standards (FSSAI, HACCP, etc.). o Verify that suppliers follow proper storage and transportation conditions. 8. Problem Resolution o Handle delays, shortages, or quality issues with suppliers. o Arrange emergency sourcing if required. 9. Sustainability & Ethics (in modern restaurant practices) o Prefer local, seasonal, and sustainable sourcing when possible. o Minimize packaging waste and encourage eco-friendly supplier practices. 10. Reporting to Management o Provide regular updates on procurement costs, challenges, and supplier performance. o Suggest improvements for efficiency and cost reduction. o Monthly reporting to management (data to be extracted from system – poketpos).
