Job Description

About the Role :
The Operations Executive will oversee daily operational activities across branches and client locations. The role involves managing invoices, purchase orders, delivery notes, client coordination, and operational data tracking using Zoho ERP. The candidate will ensure smooth workflow, accurate documentation, timely collections, and strong coordination with clients, vendors, and internal teams. The position also supports process improvements, reporting, and provides operational support to regional and management teams.

Key Responsibilities
• Manage day-to-day operational activities across branches and client sites.
• Prepare and process invoices, purchase orders (POs), and delivery notes using Zoho Books/Zoho ERP.
• Maintain daily tracking reports for materials and service execution.
• Coordinate with clients for PO submission, invoice acknowledgment, and payment updates.
• Support accounts receivable (AR) reconciliation and ensure timely collections.
• Track and update operational data in Zoho ERP for real-time visibility.
• Liaise with vendors, logistics, and internal teams for smooth operations.
• Support management with process improvements and reporting.
• Provide operational support to regional heads and branch teams.

Requirements
• Bachelor’s degree in Commerce, Business Administration, or related field (MBA preferred).
• Minimum 4–5 years of experience in operations, invoicing, or AR—preferably in facility management or housekeeping.
• Strong experience with Zoho Books / Zoho ERP (mandatory).
• Proficiency in MS Excel / Google Sheets.
• Excellent communication and coordination skills.
• Strong organizational and problem-solving abilities.
• Ability to manage multiple priorities independently.

Preferred Skills:
• Experience in housekeeping, chemicals, or stationery operations.
• Knowledge of inventory management and service billing processes.
• Experience in client/vendor coordination and payment reconciliation.
