Operation Executive – Roles & Responsibilities
1. Daily Operational Management Monitor day-to-day business operations to ensure smooth workflow.
Coordinate with internal departments to streamline processes.
Maintain operational schedules, trackers, and reports.
2. Documentation & Compliance Prepare, verify, and maintain business documents such as agreements, invoices, notary papers, GST documents, etc.
Ensure all records are updated, accurate, and compliant with company policies.
3. Client Coordination Communicate with clients to collect required information/documents.
Update clients on work status, timelines, and process requirements.
Handle basic client queries and route escalations to the right department.
4. Process Execution Complete assigned tasks such as data entry, form submissions, follow-ups, and approvals.
Ensure timely completion of daily targets and operational tasks.
Assist in implementing new operational processes.
5. Reporting & Tracking Maintain Excel/CRM trackers for tasks, payments, documents, and status updates.
Share daily/weekly/monthly reports with management.
Highlight delays, issues, or process bottlenecks.
6. Coordination with Teams Work closely with Accounts, HR, Sales, and Technical teams for smooth operations.
Help in onboarding vendors, freelancers, or clients when required.
7. Quality & Process Improvement Ensure accuracy in every operational activity.
Suggest improvements for faster, error-free workflows.
Follow checklists and SOPs strictly.
8. Administrative Support Handle office-related tasks such as courier coordination, document submission, appointment scheduling, etc.
Manage small office expenses, reimbursements, and advance usage (with proper breakup).
9. Problem Solving Identify issues during operations and take corrective actions.
Support the team in resolving operational challenges promptly.
