Job Description – Senior Operations Executive
Role Overview:
Anantaya Enterprises LLP is seeking a proactive and detail-oriented Senior Operations Executive to support and manage day-to-day logistics operations across pickup, processing, dispatch, and delivery coordination. The Senior Operations Executive will be responsible for ensuring seamless execution of shipment lifecycle activities, including booking, tracking, documentation, and coordination with delivery personnel, DTDC network teams, and customers. The role also involves maintaining operational records, preparing MIS reports, monitoring service performance, and supporting issue resolution to ensure adherence to defined turnaround times (TAT).
This position requires a high level of ownership, multitasking ability, and attention to detail, along with strong coordination across internal teams and external stakeholders. The individual will also support basic commercial activities, customer interactions, and administrative functions to ensure smooth and efficient operations.

Key Responsibilities:
1. Core Operations & Execution Management
Manage end-to-end shipment lifecycle including pickup booking, processing, dispatch, and delivery coordination through DTDC systems.
Ensure accurate data entry, shipment booking, and documentation with zero error tolerance.
Oversee sorting, packing, labelling, and loading/unloading activities ensuring operational efficiency and shipment safety.
Coordinate with pickup/delivery staff, agents, and DTDC hubs to ensure seamless movement of shipments.
· Coordinating with DTDC operations and franchises across India for delivery and pickup.
Ensure strict adherence to product-wise TAT (Turnaround Time) and service commitments.
Proactively monitor inbound and outbound shipments, identify delays, and take corrective actions.
· Tracking inbound and outbound shipments and ensuring proper documentation.
Maintain real-time status updates and visibility of shipments for internal tracking and customer communication.
2. Network Coordination & Exception Handling
Act as a single point of coordination between DTDC network, franchise partners, and internal teams.
Track and resolve delivery exceptions, delays, RTOs, and misroutes in a timely manner.
Escalate critical operational issues to concerned teams and ensure closure within defined timelines.
Follow up with DTDC hubs and partners for pending deliveries, discrepancies, and service gaps.
3. Reporting & Documentation (MIS)
Maintaining and submitting delivery logs and undelivered reports.
Preparing and closing daily, weekly, and monthly service performance & reports.
Preparing service analysis, variance analysis, and other ad hoc MIS reports as required.
Maintaining delay reports and escalation matrices.
Supporting documentations for claims and report status accordingly.
4. MIS, Reporting & Performance Monitoring
Prepare and maintain daily, weekly, and monthly MIS reports covering operations, delays, and service performance.
Track and report key operational KPIs such as TAT adherence, delivery success rate, delay trends, and productivity.
Conduct variance analysis and root cause identification for operational gaps.
Maintain delay reports, escalation logs, and performance dashboards for management review.
Support audit requirements through accurate documentation and reporting.
5. Customer Service & Relationship Management
Act as the first point of contact for customer complaints, queries related to service information, shipments, service issues, claims, invoices, and outstanding payments.
Ensure timely and professional resolution of complaints with proper tracking and closure.
Maintain structured complaint logs and escalation matrix.
Build strong relationships with customers through proactive communication and service reliability.
Provide regular shipment updates and service feedback to key customers where required.
6. Inventory & Material Control
Monitor and manage inventory of operational materials including consignment notes, labels, packaging materials, and stationery.
Ensure adequate stock levels to avoid operational disruption.
Coordinate with finance and DTDC teams for procurement and replenishment planning.
Conduct periodic physical verification and reconciliation of inventory.
7. Commercial Support & Financial Coordination
Support invoice dispatch, reconciliation, and collection follow-ups with customers.
Assist in COD tracking, reconciliation, and coordination with finance team.
Ensure proper documentation for billing, claims, and financial transactions.
Coordinate with accounts for resolving billing discrepancies and outstanding issues.
· Coordinating basic bookkeeping and financial documentation at the staff level.
· Ensuring office and workplace tidiness, equipment upkeep, and basic IT coordination.
· Providing operational support during absence of senior staff.
8. Process Compliance & Control
Ensure adherence to DTDC operational guidelines, SOPs, and compliance requirements.
Maintain proper documentation, record-keeping, and audit trails.
Identify process gaps and contribute to continuous improvement initiatives.
Ensure discipline in data accuracy, reporting timelines, and operational processes.
9. General Administration & Team Support
Support day-to-day office administration and operational coordination.
Ensure workplace organization, discipline, and operational readiness.
Provide backup support during staff absence or peak operational load.
Assist in onboarding/training of new staff on basic operational processes (if required).
Qualifications & Skills:
- Graduate or Diploma holder (preferred: Logistics, Commerce, or Business Administration).
- 1–3 years of experience in business operations (experience in courier/logistics industry and/or with DTDC and/or other courier services is a plus).
- Proficiency in MS Excel, and ability to prepare MIS reports
- Good analytical and problem-solving skills with attention to detail.
- Ability to work under pressure and handle multiple priorities.
- Proficiency in English, Hindi and local language.
- Strong interpersonal skills for handling client and vendor communications.
- Experience in logistics, courier, distribution, or service-based industries will be an added advantage.
