Job Summary:
We are looking for a highly organized and proactive Executive Assistant to support our leadership team. You will be responsible for streamlining business operations, managing communications, assisting in recruitment, and sourcing engineering components.
Key Responsibilities:
Client Management: Act as the primary point of contact for clients, handle inquiries, follow up on proposals, and maintain professional relationships.
Talent Acquisition (Hiring): Support the employer in the hiring process by posting job openings, screening resumes, scheduling interviews, and managing candidate onboarding.
Sourcing & Procurement: Research and identify vendors for engineering spare parts and raw materials. Obtain quotations, negotiate pricing, and track orders to ensure timely delivery.
Calendar & Meeting Management: Manage executive schedules, coordinate internal/external meetings, and prepare ‘Minutes of Meeting’ (MOM).
Travel Coordination: Handle all logistics for business trips, including flight bookings, hotel accommodations, and local transport.
Documentation: Maintain an organized database of clients, vendors, and candidates. Prepare professional reports, invoices, and contracts.
Required Skills:
Communication: Excellent written and verbal communication skills in English and Hindi.
Technical Proficiency: Advanced knowledge of MS Office (Word, Excel, PowerPoint) and internet research (LinkedIn, IndiaMart, etc.).
Negotiation Skills: Ability to negotiate effectively with vendors to ensure cost-effective sourcing.
Multitasking: Capability to handle administrative, recruitment, and procurement tasks simultaneously.
Confidentiality: High level of integrity in handling sensitive business and HR information.
