Job Title: Executive Assistant (EA)
Job Summary:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior management. The ideal candidate will manage schedules, coordinate meetings, handle communications, and assist with day-to-day operations to ensure smooth functioning of the office and effective time management for executives.
Key Responsibilities:
Manage and maintain the calendar, appointments, and meetings of senior executives
Coordinate travel arrangements, including booking flights, accommodation, and transportation
Prepare, edit, and manage correspondence, reports, presentations, and documents
Screen and prioritize incoming calls, emails, and requests, responding or redirecting as appropriate
Arrange and coordinate internal and external meetings, including logistics and follow-up actions
Maintain confidential files and records, ensuring data privacy and security
Liaise with internal departments and external stakeholders to facilitate smooth communication and workflow
Assist in preparing agendas, taking minutes during meetings, and tracking action items
Support project coordination and special assignments as directed by management
Handle office supplies procurement and manage vendor relationships when needed
Perform other administrative tasks to support the executive team and improve office efficiency
Qualifications and Skills:
Proven experience as an Executive Assistant or similar role supporting senior-level management
Excellent organizational, multitasking, and time management skills
Strong communication skills, both written and verbal
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software
Ability to handle sensitive information with discretion and maintain confidentiality
Problem-solving attitude and the ability to work independently and as part of a team
High level of professionalism, attention to detail, and reliability
