Job Summary
We are seeking a highly organized and proactive Executive Assistant to support senior leadership in a fast-paced construction environment. The ideal candidate will manage schedules, coordinate project-related communications, and ensure smooth day-to-day administrative operations while maintaining confidentiality and professionalism.
Key Responsibilities
Executive Support
Manage and maintain executive calendars, including meetings, site visits, and travel schedules
Coordinate internal and external meetings, including preparing agendas and minutes
Screen calls, emails, and correspondence, responding or redirecting as needed
Act as a liaison between executives, clients, contractors, and internal teams
Project Coordination
Assist in tracking project timelines, deliverables, and key milestones
Coordinate with project managers, architects, and vendors for updates
Prepare reports, presentations, and documentation related to ongoing projects
Maintain records of contracts, approvals, and project documentation
Administrative Duties
Handle travel arrangements, expense reports, and reimbursements
Organize and maintain filing systems (digital and physical)
Support procurement and vendor coordination activities when required
Ensure office operations run efficiently
Communication & Stakeholder Management
Facilitate communication between departments (engineering, procurement, finance, etc.)
Assist in client communication and follow-ups
Maintain professionalism while dealing with high-level stakeholders
