Role Overview
We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to Managing Director to provide comprehensive administrative and executive support. This role requires handling complex schedules, high-level coordination, confidential information, and cross-functional communication while ensuring seamless day-to-day operations of the MD’s office.
The ideal candidate should possess strong communication skills, advanced MS Excel proficiency, exposure to modern tools/AI, and prior experience supporting senior leadership.
Key Responsibilities
Calendar & Schedule Management
Manage and optimize the Managing Director’s calendar, meetings, and appointments
Coordinate internal and external meetings, ensuring timely preparation and follow-ups
Anticipate scheduling conflicts and proactively resolve them
Communication & Correspondence
Draft, review, and manage emails, letters, presentations, and reports
Act as the primary liaison between the MD and internal/external stakeholders
Screen calls, emails, and requests, prioritizing urgent matters
Administrative & Executive Support
Prepare agendas, presentations, briefing notes, and meeting documents
Record minutes of meetings and track action items
Coordinate travel arrangements (flights, hotels, itineraries, expenses)
Handle confidential information with discretion and professionalism
Operations & Follow-ups
Track ongoing tasks and follow up with departments for timely completion
Support leadership with reporting, MIS, and documentation
Assist in improving office processes and workflow efficiency
Technology & Reporting
Use advanced MS Excel for data analysis, reports, dashboards, and tracking
Utilize MS Office tools (Word, PowerPoint, Outlook) effectively
Leverage AI tools and digital platforms for productivity and automation
Required Skills & Qualifications
Bachelor’s degree in Mass Communication, Journalism, Business, or related field
3–6 years of proven experience as an Executive Assistant / Senior EA
Prior experience supporting MD / CXO / Senior Leadership
Advanced MS Excel skills (Pivot Tables, formulas, dashboards)
Strong proficiency in MS Office Suite
Excellent verbal and written English communication
High level of professionalism, discretion, and attention to detail
Ability to multitask and perform under pressure
Willingness to travel as required
Preferred Profile
Exposure to AI tools, reporting automation, or digital workflows
Experience in fast-paced corporate or consulting environments
Candidates aged 30–35 years preferred
Work Schedule
Monday to Friday: Work from Office
Saturday: Work from Home
Occasional extended hours based on MD’s schedule
