About the Role
We are looking for a highly organised, proactive and dependable Executive Assistant to the Managing Director who can work closely with the MD and help ensure that day-to-day priorities, communication, follow-ups and coordination are handled efficiently. This is a hands-on role in a factory/office environment, involving interaction with employees across different functions, vendors, clients and other stakeholders. The ideal candidate should be comfortable communicating with people at different levels of the organisation and should have the confidence and professionalism to follow up on tasks and ensure that commitments are completed on time. This is not a purely desk-based secretarial position. We are looking for someone who can take ownership, keep track of multiple priorities and get things done.
Key Responsibilities Executive & Administrative Support • Manage the MD's day-to-day schedule, appointments and meetings. • Coordinate internal and external meetings and ensure the MD is prepared with the required information. • Attend, screen and coordinate telephone calls and take accurate messages. • Manage correspondence, emails and routine communication on behalf of the MD. • Maintain a clear record of tasks, commitments, appointments and follow-ups. • Prepare and maintain daily/weekly task and follow-up lists. • Ensure that important tasks do not get missed or delayed. Coordination & Follow-up • Coordinate with employees and different departments on tasks assigned by the MD. • Follow up with team members, vendors, clients and other stakeholders and obtain clear completion timelines. • Maintain a delegation/follow-up sheet and track commitments through to completion. • Escalate delays, issues or lack of response to the MD promptly. • Act as an effective communication link between the MD and the wider team. • Handle follow-ups firmly but respectfully, including with senior employees and external stakeholders. Personal & Practical Assistance to the MD • Provide reasonable personal and logistical assistance to the MD as required. • Coordinate personal appointments, bookings, arrangements and other time-sensitive requirements. • Assist with practical day-to-day requirements such as arranging meals/lunch, coordinating deliveries, bookings or other tasks delegated by the MD. • Maintain complete discretion and confidentiality regarding the MD's personal and professional matters. Research & Office Support• Conduct online research and gather information as required by the MD. • Prepare summaries, notes, documents and basic reports. • Assist with presentations, spreadsheets and other administrative work. • Organise and maintain important documents and information.
