JOB SUMMARY:
The Executive Assistant to the Managing Director will play a critical role in managing the MD’s schedule, communications, and key projects. This role requires a proactive individual with excellent organizational, communication, and multitasking skills who can operate with a high degree of professionalism and discretion.
KEY RESPONSIBILITIES:
Calendar & Schedule Management:
• Coordinate and manage the MD’s schedule, appointments, and meetings, ensuring effective time management.
Communication Management:
• Draft, review, and manage internal and external communications on behalf of the MD. Handle email and correspondence with professionalism and discretion.
Meeting & Travel Coordination:
• Organize meetings, prepare agendas, take minutes, and ensure follow-ups. Manage complex travel plans and itineraries, including accommodations and logistics.
Project Support & Research:
• Assist with strategic projects, presentations, and reports. Conduct research, compile data, and prepare briefing materials.
Stakeholder Liaison:
• Act as the primary point of contact between the MD and internal/external stakeholders, maintaining strong and professional relationships.
Confidentiality & Discretion:
• Handle sensitive information with the highest level of confidentiality and integrity.
Office & Administrative Support:
• Provide general administrative support, including document preparation, filing, and expense reporting.
QUALIFICATIONS & SKILLS:
• Bachelor’s degree in Business Administration or related field (MBA or equivalent preferred)
• 10+ years of experience as an Executive Assistant or in a similar role, preferably supporting senior leadership
• Excellent verbal and written communication skills
• Proficient in MS Office Suite and scheduling tools (Outlook, Teams, Zoom, etc.)
• Strong organizational and multitasking skills
• Ability to work independently, prioritize tasks, and meet deadlines
• High level of professionalism and discretion
• Strong interpersonal skills and a collaborative mindset
