Role Overview
We are looking for a proactive and detail-oriented Operations Executive & Executive Assistant to support the Director and ensure smooth execution of operational and administrative functions. The role demands strong coordination, effective follow-ups, excellent communication, and the ability to manage both business and personal tasks with complete confidentiality.
Key Responsibilities
Coordination & Tracking: Handle follow-ups with staff, vendors, external agencies; monitor payments, shipments, and due dates; escalate delays where required.
Communication: Draft and send polite yet firm follow-up emails, WhatsApp messages, or calls; maintain a daily log of pending and completed communications.
Reporting: Keep trackers updated with real-time status reports.
Executive Assistance: Manage the Director’s calendar, schedule/reschedule meetings, arrange travel, and oversee correspondence.
Personal Assistance: Handle personal tasks for the Director (e.g., reservations, errands).
Record Maintenance: Maintain all records, registers, and ensure accurate data entry in company systems.
Support Role: Step in to cover responsibilities of colleagues if required.
Desired Skills & Traits
Strong follow-up and coordination skills.
Excellent communication in English & Hindi (written and verbal).
Proficient in Google Suite (Sheets, Docs, Slides, Calendar, Meet).
Persistent yet polite in communication.
Highly organized, systematic, and detail-oriented.
Quick learner with a problem-solving mindset.
Ability to manage confidential information with discretion.
