Detailed Job Description Job Title: Executive Assistant to MD Location & Hours: Surat (Full-time, Office-based) Monday–Saturday (9 to 6) + Sunday half-day Role Summary: We are seeking a highly organized and proactive Executive Assistant to the Managing Director who will act as the MD’s voice and single point of contact for internal coordination. This role involves managing business and personal tasks with strict confidentiality, ensuring seamless operations and effective follow-ups. Key Responsibilities: Daily: - Manage MD’s calendar, schedule meetings, block focus/travel time. - Filter emails/calls, draft responses, maintain daily summary. - Coordinate with the team, track deadlines, follow up on tasks. - Handle personal/family tasks (bills, appointments, reminders). - Send end-of-day reports of completed and pending tasks. Weekly: - Share outstanding payment reports Monday. - Provide weekly calendar briefing and communication summary. - Check-in with the team on deadlines, send reminders. - Plan family activities if needed. - Send a weekly report every Saturday (highlights, pending items). Monthly: - Track reimbursements, expenses, bill payments, prepare MIS. - Review upcoming travel, ensure bookings, organize documents. - Share curated industry updates and learning resources. - Manage subscriptions and renewals. Occasional: - Conduct market/vendor research, prepare executive briefs. - Organize business events/workshops, manage RSVPs and gifting. - Plan family travel, manage special purchases, health check-ups. - Handle ad-hoc tasks delegated by MD. Required Skills & Competencies: - Excellent follow-up skills (non-negotiable). - Strong proficiency in MS Office and Google Workspace. - Good command of English (written and verbal preferred). - Ability to manage multiple priorities and deadlines. - Discreet, trustworthy, and adaptable to changing priorities. - Strong organizational and communication skills. Performance Metrics (KPIs): - Timely completion of delegated tasks. - Accuracy in calendar and email management. - Quality of follow-ups and reporting. Reporting Structure: Reports directly to MD. Acts as a single point of contact for all internal communication on MD’s behalf.
