Role Overview
We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to support the Managing Director. The ideal candidate will act as a key link between management, internal teams, and external stakeholders, ensuring smooth day-to-day operations and effective coordination.
Key Responsibilities
• Act as the primary point of contact among executives, employees, clients, and external partners
• Manage and maintain MD’s calendar, appointments, and meetings
• Coordinate and arrange meetings, including logistics and follow-ups
• Handle personal and official tasks related to the Managing Director
• Maintain records, trackers, and documentation (daily/weekly/monthly)
• Prepare reports, presentations, and business documents
• Record and prepare Minutes of Meetings (MoM) for various discussions
• Track team tasks, goals, and ensure timely follow-ups
• Manage travel arrangements (air/train/hotel/visa bookings)
• Maintain proper filing systems (physical and digital)
• Coordinate with internal teams and external partners for updates and queries
• Monitor renewal schedules (insurance, internet, etc.) and ensure timely payments

• Working knowledge of Google Workspace (Docs, Sheets, Drive, Calendar)
• Experience with virtual meeting platforms (Zoom, Google Meet)
• Basic IT troubleshooting (email configuration, printer setup, file sharing)
• Knowledge of travel planning and booking tools
• Strong email drafting and communication skills
• Basic understanding of digital tools and LinkedIn usage
