Key Responsibilities
1. Executive Support to Managing Director
• Manage and optimize the MD’s calendar, including scheduling meetings, appointments, and
travel
• Coordinate with internal and external stakeholders across functions and time zones
• Act as a primary point of contact for the MD’s office
• Prepare presentations, reports, correspondence, and meeting materials
• Capture minutes of meetings (MoM) and track follow-up actions
2. Administrative & Secretarial Support
• Support day-to-day office administration and ensure smooth functioning
• Handle secretarial tasks including scheduling, coordination, and documentation
• Manage internal communications and coordination across departments
• Maintain office supplies and support small procurements
3. Finance & Documentation Support
• Organize, maintain, and retrieve finance-related documents, contracts, and records
• Support basic finance operations including:
o Purchase Requisition (PR) creation
o Goods Receipt Note (GRN) processing
o E-invoice generation and tracking
• Assist in invoice processing and expense coordination in compliance with ETAS policies
4. Banking & Compliance Coordination
• Manage banking-related documentation and submissions
• Coordinate with banks and follow up on requests
• Facilitate approvals from authorized signatories
• Ensure documentation is maintained in line with audit and compliance requirements
Travel, Meetings & Event Coordination
• Arrange end-to-end travel logistics (domestic & international) including visas,
accommodation, and itineraries
• Coordinate meeting logistics (rooms, AV setup, catering, etc.)
• Support small executive events and stakeholder meetings
