Executive Assistant (EA) / MD Secretary – Job Description Position Executive Assistant / Secretary to Managing Director (MD) Experience • 3–5 year experience as EA / Secretary / Office Coordinator to senior management or MD. • Strong admin, coordination, and follow-up experience preferred. • Candidate should be proactive, organized, and execution-focused. Education • Graduate (Secretarial course/college preferred). Key Skills Required • Excellent follow-up and task-tracking skills (most important). • Strong coordination and getting-things-done ability. • Good command over English (written & verbal). • Working knowledge of MS Office – especially Excel & Word. • Knowledge of shorthand preferred. • Good internet and Google search skills. • Ability to draft emails, letters, and professional communication. Role & Responsibilities • Manage MD’s office, schedule, meetings, reminders, and follow-ups. • Coordinate with internal teams and external stakeholders on behalf of MD. • Track all delegated tasks and ensure timely completion. • Maintain follow-up sheets, reports, and coordination trackers. • Handle emails, calls, correspondence, and documentation. • Conduct internet research and prepare reports/materials. • Assist in personal tasks of MD when required. • Ensure smooth communication and execution across departments. • Work as the “voice of the MD” for task delegation and follow-ups. Desired Candidate Profile • Honest, reliable, and trustworthy. • Stable job history (no frequent job changes). • Married candidate preferred; preferably with children. • Staying within approx. 45 minutes travel time from office. • Mature, disciplined, and professional personality. • Comfortable handling pressure and multiple tasks.
