Job Title: Onboarding Documentation Executive – Paytm

Job Summary:
We are looking for a detail-oriented and proactive Onboarding Documentation Executive to manage and complete all documentation processes for candidates joining Paytm. This role involves end-to-end handling of pre-joining formalities, collecting and verifying candidate documents, coordinating with hiring managers and recruitment teams, and ensuring all onboarding compliance is met before a candidate’s joining date.

Key Responsibilities:
1. Candidate Document Collection & Follow-up
Collect all necessary documents from shortlisted/joining candidates, including:
PAN Card, Aadhar Card, Educational Certificates, Previous Employment Proof, Bank Details, Resume, Photos, etc.
Share standard onboarding checklists and explain documentation requirements to candidates.
Regularly follow up with candidates via calls, emails, and WhatsApp for pending documentation.
2. Document Verification & Upload
Verify the accuracy and completeness of all submitted documents.
Identify any discrepancies (mismatch in name, address, ID details, etc.) and coordinate with candidates to correct them.
Upload validated documents to internal systems (HRMS / onboarding portal / Genesis / shared drives).
3. Coordination with Recruitment and Compliance Teams
Coordinate with internal HR/recruitment teams and third-party agencies for background checks.
Share the final documentation folder with relevant stakeholders for review and approval.
Ensure that no candidate joins without document clearance and compliance approval.
4. Database and Reporting Management
Maintain and update internal trackers (Excel/Google Sheets) to track document collection and onboarding status.
Generate periodic reports for pending, completed, and upcoming onboardings.
Keep clear records for future audits or reference.
5. Candidate Experience & Communication
Act as a point of contact for candidate queries related to onboarding documentation.
Ensure a smooth and professional onboarding experience by offering clear guidance and timely responses.
Required Skills & Qualifications:
Education: Any Graduate or Under Graduate
Experience: 1–3 years in onboarding, HR documentation, or recruitment coordination roles
Technical Skills:
• Proficient in MS Excel, Google Sheets, and email communication.
• Familiarity with HRMS tools or onboarding portals (e.g., Genesis) is a plus.
Soft Skills:
• Strong communication and follow-up skills.
• Excellent attention to detail and accuracy in documentation.
• Ability to multitask and manage deadlines effectively.
• Preferred Attributes:
• Experience in bulk or field hiring processes.
• Understanding of Paytm’s recruitment and onboarding systems/processes.
• Ability to work under pressure and handle large candidate volumes.
• Knowledge of compliance standards and background verification procedures.
