Job Description

Customer Service & Documentation Executive will be responsible for handling customer communication, shipment coordination, and preparation of export/import documentation in freight forwarding operations. The role requires coordination with customers, shipping lines, transporters, overseas agents, and internal teams to ensure smooth shipment execution and timely documentation.


Key Responsibilities:


*Customer Service

- Act as the primary point of contact for customers regarding shipment status and inquiries.


*Coordinate with shippers, consignees, transporters, and overseas agents.


*Provide shipment updates and resolve customer queries promptly.


*Ensure high levels of customer satisfaction and maintain long-term relationships.


*Shipment Coordination, Arrange bookings with shipping lines, airlines, and co-loaders.


*Follow up with transporters and warehouses for cargo pickup and delivery.


*Monitor shipment schedules, vessel departures, and transit updates.


*Coordinate with internal departments for smooth shipment handling.



Documentation:


*Prepare and verify export and import documents such as:

Bill of Lading (BL / HBL / MBL)

Commercial Invoice

Packing List

Shipping Instructions

Delivery Orders

Ensure accuracy of documents before submission to carriers or customers.


*Maintain proper records and documentation in the system. Compliance & Coordination


*Ensure shipments comply with customs regulations and company procedures.


*Coordinate with customs brokers and agents for smooth clearance.


*Maintain shipment files and update internal systems.


Required Skills & Qualifications:


*Bachelor’s degree in Logistics, Supply Chain, Business Administration, or related field.


*1–3 years experience in freight forwarding / logistics industry.


*Good knowledge of export/import documentation and shipping procedures.


*Strong communication and coordination skills.

Proficiency in MS Office (Excel, Word, Outlook).

Ability to work under pressure and meet shipment deadlines.

Preferred Skills

Knowledge of shipping lines, incoterms, and international trade procedures.

Experience working with overseas agents and freight forwarding software.
