Job Description

Job Summary:

The Document Scanning Associate will be responsible for preparing, scanning, and digitizing physical documents with accuracy and efficiency. This role ensures documents are handled securely, organized systematically, and converted into high-quality digital files according to company or client standards.

Key Responsibilities:

Document Preparation

  • Remove staples, clips, bindings, and sort documents for scanning.

  • Arrange pages in correct order and ensure documents are clean and readable.

  • Handle confidential documents securely under compliance guidelines.

Scanning & Digitization

  • Operate high-volume scanners and related equipment.

  • Scan documents according to project specifications (resolution, format, file naming, OCR).

  • Perform OCR processing where required.

Quality Control (QC)

  • Review scanned images for clarity, completeness, orientation, and page sequence.

  • Identify and correct scanning errors such as cropping issues, missing pages, or poor quality images.

Indexing & Data Entry

  • Name files accurately based on indexing standards.

  • Enter relevant metadata and ensure proper folder structuring.

File Management

  • Upload, store, and organize scanned files in assigned digital platforms or cloud systems.

  • Maintain backup and ensure version control.

Equipment Maintenance

  • Monitor scanner performance, perform basic troubleshooting, and report downtime or technical issues.

Reporting & Coordination

  • Update daily progress logs and submit productivity reports.

  • Coordinate with team members to meet deadlines and project milestones.


📚 Required Skills & Qualifications:

  • High school diploma or equivalent.

  • Minimum 0 months to 6 months experience in scanning, digitization, data entry, or document management (preferred but not mandatory).

  • Knowledge of scanning tools/software (e.g., Fujitsu/Kodak Apps, Adobe Acrobat, OCR tools).

  • Basic computer skills (MS Office, File Management, Folder organization).

  • Strong attention to detail and accuracy.

  • Ability to handle confidential and sensitive information.

  • Good time management and ability to meet deadlines.
