BACK-OFFICE EXECUTIVE
DocumentaƟon Management
Prepare, review, format, and finalize all statutory, legal, and operaƟonal documents
of the organizaƟon.
Maintain accurate records of client files, approvals, applicaƟons, cerƟficates, and
correspondence.
Ensure proper version control, indexing, and systemaƟc filing (physical and digital).
Compliance & Regulatory DocumentaƟon
DraŌ and compile documents related to MSME registraƟons, subsidies, licenses,
approvals, cerƟficaƟons, and government schemes.
Coordinate documentaƟon for departments such as MSME, Labour, PolluƟon
Control, Factory Inspectorate, Power, and other regulatory authoriƟes.
Ensure documents comply with applicable laws, guidelines, and government formats.
DraŌing & CommunicaƟon
DraŌ professional leƩers, declaraƟons, affidavits, undertakings, explanaƟons, replies,
and follow-up communicaƟons.
Prepare submission notes, covering leƩers, and compliance summaries for
authoriƟes and clients.
Coordinate with clients to collect, verify, and validate required documents.
Audit & CerƟficaƟon Support
Assist in preparaƟon of audit files, checklists, registers, and evidence for ISO, ZED,
and other cerƟficaƟons.
Ensure documentaƟon readiness for inspecƟons, audits, and verificaƟon visits.
Coordinate with consultants, auditors, and cerƟficaƟon bodies for document
submission.
Data Accuracy & VerificaƟon
Cross-verify all documents for accuracy, completeness, consistency, and legal
correctness before submission.
IdenƟfy gaps or discrepancies in documentaƟon and take correcƟve acƟon.
Maintain confidenƟality and data security of all client and company records.
Process & SOP Compliance
Follow internal SOPs, documentaƟon standards, and reporƟng protocols.
Support development and improvement of documentaƟon processes and templates.
Ensure Ɵmelines for documentaƟon and submissions are strictly followed.
CoordinaƟon & ReporƟng
Coordinate with internal teams such as consulƟng, sales, accounts, and operaƟons
for document requirements.
Maintain tracking sheets for applicaƟons, submissions, approvals, and pending
acƟons.
Provide regular status updates and reports to management.
Office & AdministraƟve Support
Support senior management in preparing reports, presentaƟons, and official
correspondence.
Handle document-related queries from clients, authoriƟes, and internal stakeholders.
Assist in training junior staff on documentaƟon standards and procedures.Compliance • Strategy • ExecuƟon
