Data Entry & Production Coordination Executive

About the Role
We are looking for a Data Entry & Production Coordination Executive who will be responsible for maintaining accurate records of raw material movement, coordinating with production teams and workshops, tracking purchase orders, and ensuring timely follow-ups with customers and vendors.
The ideal candidate should be organised, detail-oriented, good with numbers and Excel, and comfortable handling multiple follow-ups on a daily basis.
Key Responsibilities
1. Raw Material & Inventory Coordination
* Maintain accurate records of raw material issued to production units/workshops.
* Record incoming finished and semi-finished goods.
* Maintain workshop/vendor-wise records of material issued and received.
* Track pending material and production jobs.
* Identify discrepancies in quantities, weights or records and report them promptly.
* Ensure all material movements are recorded and updated on time.
2. Purchase Orders & Job Orders
* Prepare and issue Purchase Orders / Job Orders to vendors and production units.
* Maintain a complete PO register and track the status of every order.
* Coordinate regarding specifications, quantities, sizes, delivery dates and other requirements.
* Follow up on pending and overdue orders.
* Ensure completed orders are properly recorded and closed.
3. Production Coordination
* Maintain daily production and order-status records.
* Coordinate with workshops and production teams for regular updates.
* Track expected and actual completion dates.
* Prepare pending-job and delayed-order reports.
* Escalate delays or discrepancies to the concerned manager.
4. Customer Follow-Ups
* Follow up with customers regarding order details, approvals, delivery timelines and pending requirements.
* Coordinate customer requirements with the internal production team.
* Maintain updated records of customer orders and their status.
* Ensure important customer commitments are communicated to the concerned team.
5. Vendor / Karigar Follow-Ups
* Regularly coordinate with vendors, workshops and production partners.
* Follow up on pending jobs and expected completion dates.
* Obtain regular production updates.
* Maintain records of commitments and deliveries.
* Escalate repeated delays or issues when required.
6. Data Entry & Documentation
* Maintain accurate and updated records in Excel/ERP/software.
* Enter all transactions and updates on a timely basis.
* Maintain records of POs, material issues, goods received, production status and deliveries.
* Ensure physical records and system entries are properly matched.
* Prepare daily and weekly reports as required.
Daily Responsibilities
* Review pending orders and production jobs.
* Update raw material and goods-received records.
* Prepare and issue new POs/job orders.
* Follow up with vendors, workshops and customers.
* Update production and order status.
* Check pending and overdue jobs.
* Highlight discrepancies or delays to the concerned manager.
* Maintain accurate records and reports.
Key Skills Required
* Good knowledge of MS Excel
* Strong data-entry and numerical skills
* Good communication and follow-up skills
* Excellent attention to detail
* Ability to maintain systematic records
* Ability to coordinate with multiple people simultaneously
* Good organisational and time-management skills
* Ability to work independently and take ownership of assigned responsibilities
Preferred Experience
* 1–3 years of experience in data entry, production coordination, inventory, operations or a similar role.
* Experience in manufacturing, jewellery or other production-related industries will be an advantage.
