Job Summary
We are looking for a Compliance Executive to manage documentation, compliance, billing coordination, vehicle-related processes, driver agreements, insurance procedures, and other administrative activities related to our fleet operations.
The candidate will be responsible for ensuring that all vehicle, driver, financial, and operational documentation is properly maintained and processes are completed within the required timelines.
Key Responsibilities
1. Billing & Maintenance Software
Maintain and verify vehicle maintenance-related billing and records.
Enter maintenance and repair details in the maintenance software.
Ensure timely and accurate updating of vehicle service, repair, spare parts, and maintenance records.
Maintain proper documentation and supporting bills for maintenance expenses.
Coordinate with the accounts and maintenance teams for billing-related requirements.
2. Payment & Voucher Management
Prepare payment vouchers for vendors, garages, spare parts suppliers, and other service providers.
Verify supporting documents before preparing vouchers.
Maintain proper records of payments and related documentation.
Coordinate with the Accounts Department for payment processing.
3. Driver Documentation & Agreements
Prepare and maintain Driver Hiring Agreements / Driver Contracts.
Prepare cab/vehicle lease agreements for drivers as per company requirements.
Ensure required driver documents and agreements are properly completed and maintained.
Monitor renewal and expiry dates of agreements and other important documents.
4. Vehicle Loan & Finance Procedures
Coordinate documentation and processes related to vehicle loans.
Assist in the loan procedure for purchasing new vehicles.
Coordinate with banks/NBFCs, dealers, and internal departments for required documentation.
Monitor loan-related documentation and payment schedules.
Handle loan foreclosure procedures and coordinate with the concerned financial institution for closure/NOC documentation.
5. New Vehicle Registration
Coordinate the complete process of new vehicle registration.
Liaise with vehicle dealers, RTO representatives/agents, insurance companies, and other concerned parties.
Ensure RC, insurance, permit, tax, and other vehicle documents are received and properly maintained.
Track registration status and ensure timely completion.
6. Accident & Insurance Claims
Coordinate the post-accident process for company vehicles.
Collect and maintain accident-related documents, photographs, driver statements, police documents, estimates, and other required records.
Coordinate with insurance companies, surveyors, garages, and internal teams for vehicle insurance claims.
Monitor claim status until settlement/closure.
Maintain proper records of accident cases and insurance claims.
7. Online / E-Commerce Portal & Lease Agreements
Manage and monitor cab/driver lease-related agreements through applicable online/e-commerce portals.
Ensure agreements, documents, and required information are uploaded correctly.
Track agreement status, renewals, and pending documentation.
Coordinate with drivers and internal teams for completion of portal-related requirements.
Coordinate with various departments for required documents, quotations, declarations, certificates, and supporting information.
8. Compliance & Documentation
Maintain proper records of statutory, operational, vehicle, driver, and contractual documents.
Monitor document expiry dates and ensure timely renewal.
Coordinate with internal departments to close pending compliance requirements.
Prepare reports and trackers for management review.
Ensure all documentation is accurate, complete, and readily available for audits or inspections.
Handling the petro card of HPCL for all R N cabs owned cars.
Required Skills
Good knowledge of MS Excel, MS Word, email, and documentation.
Experience in maintaining software-based records and data entry.
Good knowledge of documentation and agreement preparation.
Strong follow-up and coordination skills.
Ability to coordinate with banks/NBFCs, insurance companies, RTO/dealers, vendors, and internal departments.
Good understanding of vehicle-related documentation and fleet operations.
Ability to monitor multiple tasks and deadlines.
Good communication and negotiation skills.
Strong attention to detail and record-keeping ability.
Preferred Experience
Experience in Fleet Management / Car Rental / Transportation / Automobile / Logistics industry.
Experience with vehicle insurance claims and RTO-related processes.
Experience in tender documentation and submission.
Experience in vehicle finance, loan foreclosure, or banking documentation will be an advantage.
Experience in preparing driver/vendor/lease agreements will be preferred.
