We are seeking a dedicated and proactive Business Operations Executive who can effectively handle client communications, coordinate with vendors, and ensure the smooth execution of day-to-day operations. This role requires someone who is highly organized, customer-focused, and capable of delivering timely and quality service to our clients. The ideal candidate should also be open to traveling for operational needs and comfortable meeting with B2B partners to build relationships and strengthen business networks.
Attend to inbound client calls with professionalism and empathy.
Respond promptly to inquiries on WhatsApp, Email, and other communication channels.
Maintain a positive rapport and follow up regularly to ensure client satisfaction.
Prepare customized quotations and tour proposals as per client requirements.
Ensure all documents are accurate, well-presented, and sent in a timely manner.
Maintain a database of templates for quick access and reuse.
Communicate with hotels, transport agencies, activity providers, and other vendors to confirm bookings and get the best deals.
Ensure services are delivered as committed and troubleshoot any last-minute issues.
Keep a detailed record of bookings, follow-ups, and service statuses.
Coordinate between sales, clients, and operations team to ensure smooth handover and delivery.
Handle any post-sales support or feedback collection.
Meet with B2B partners, including travel agents, vendors, and corporate clients to maintain strong professional relationships.
Represent the company in meetings, trade shows, or field visits when required.
Travel locally or outstation to oversee ground operations, inspect services, or resolve operational concerns in real time.
Strong organizational and multitasking skills.
Attention to detail with a service-oriented mindset.
Good written and verbal communication in English and local language(s).
Problem-solving attitude and ability to think on the feet during emergencies.
Basic negotiation skills to manage vendors effectively.
Willingness to travel as per operational requirements.
Ability to work under pressure and meet deadlines.
CRM tools (Zoho, HubSpot, or similar) – for client tracking and follow-up
MS Office or Google Workspace (Docs, Sheets, Slides) – for documentation and proposals
WhatsApp Business / WhatsApp Web – for client chat and coordination
Email Platforms (Gmail, Outlook) – for professional communication
Basic Canva or Photoshop – for quick proposal design (optional, preferred)
Online travel booking portals/tools – for hotel, air, or transport reservations
Cloud tools like Google Drive or Dropbox – to store and manage files
Proficiency in using Windows or macOS systems
Good typing speed and the ability to draft professional, error-free emails
Internet browsing skills for research and vendor sourcing
Familiarity with online tools like Zoom, Google Meet, Microsoft Teams, etc.
Experience in data entry, file management, and document organization
