Job Description

A GRN (Goods Receipt Note) officer is responsible for accurately verifying, recording, and processing the receipt of incoming goods, ensuring they match purchase orders and are correctly documented within the company's inventory system. Key duties include cross-checking deliveries, creating GRNs in the ERP system, maintaining records, conducting stock checks, and coordinating with procurement and accounts teams to resolve discrepancies. 

Core responsibilities

  • Verify and record goods:

    Receive, inspect, and accurately document incoming materials by comparing them to purchase orders, delivery notes, and invoices. 

  • Create GRNs:

    Generate Goods Receipt Notes in the designated ERP or inventory management system to formally record the received items. 

  • Maintain inventory accuracy:

    Update the ERP with accurate stock movements and maintain other registers like MRP, SP, and rate changes. 

  • Conduct stock checks:

    Participate in daily physical inventory counts and periodic stockades to identify and resolve discrepancies. 

  • Manage documentation:

    Keep meticulous records of all GRNs, delivery notes, and invoices, ensuring proper filing and organization. 

  • Resolve discrepancies:

    Collaborate with the procurement, accounts, and warehouse teams to address any issues with shortages, overages, or damaged goods. 

  • Ensure compliance:

    Adhere to all company policies, safety standards, and process requirements. 

Required skills and qualifications

  • Education:

    A diploma or bachelor's degree in a related field like Logistics, Supply Chain, or Commerce is often preferred. 

  • Experience:

    Previous experience in a warehouse, logistics, or inventory management role is beneficial. 

  • Technical skills:

    Proficiency in using ERP systems for inventory tracking and strong skills in Microsoft Office Suite, especially Excel, are essential. 

  • Attention to detail:

    Exceptional accuracy is needed for record-keeping and verification tasks. 

  • Communication and coordination:

    Strong communication and interpersonal skills are necessary for collaborating with other departments.
