Job Summary
We are looking for a detail-oriented and organized professional to manage our end-to-end customer order cycle. You will act as the primary point of contact for order processing, ensuring all sales orders are accurately captured, invoiced, and tracked. The ideal candidate will be highly proficient in data entry, comfortable with accounting software, and dedicated to providing timely updates to both customers and our internal production team.
Key Responsibilities
Order Management: Receive, verify, and process incoming customer orders via phone, email, or portal. Ensure all order details (product codes, quantities, pricing, and delivery instructions) are accurate.
Invoicing & Billing: Generate accurate invoices for all processed orders, ensuring compliance with tax regulations and company pricing policies.
Customer Communication: Serve as the main point of contact for order status inquiries, delivery updates, and stock availability. Maintain professional and prompt communication to resolve any order discrepancies.
Internal Coordination: Collaborate with the production and warehouse teams to ensure orders are fulfilled and shipped on schedule.
Documentation & Reporting: Maintain organized digital and physical filing systems for all sales records. Assist management with weekly/monthly sales reports, backlogs, and fulfillment metrics.
Inventory Oversight: Monitor stock levels for high-moving items and notify the team when replenishment is required.
Required Skills & Qualifications
Experience: Preferred 2–3 years in a similar role involving order processing, billing, or sales administration.
Technical Proficiency: Strong command of Microsoft Excel (for reporting) and experience with ERP or accounting software (e.g., Tally, SAP, or similar).
Accuracy: Exceptional attention to detail, especially when handling financial data and product specifications.
Communication: Excellent verbal and written communication skills to represent the company professionally to clients.
Problem-Solving: Ability to handle client queries or order issues with composure and provide quick, effective solutions.
Education: Bachelor’s degree in Business Administration, Commerce, or a related field.
