Job Summary

We are seeking an experienced and detail-oriented Back Office Manager to oversee the day-to-day back-office operations of the company. The role involves managing order processing, customer support, procurement coordination, billing, inventory coordination, logistics follow-up, and team management to ensure seamless execution of customer orders across India.

Key Responsibilities

Operations Management

  • Lead and supervise the back-office operations team.

  • Ensure timely processing of customer enquiries, quotations, sales orders, purchase orders, invoices, and dispatch documents.

  • Monitor order status from receipt to successful delivery.

  • Coordinate with procurement, warehouse, logistics, accounts, and sales teams for smooth order execution.

  • Develop and implement standard operating procedures (SOPs) to improve operational efficiency.

Order & Customer Management

  • Review customer purchase orders and ensure accurate order entry.

  • Track order fulfilment and proactively resolve delivery-related issues.

  • Coordinate with customers regarding order confirmations, dispatch updates, and documentation.

  • Ensure compliance with customer-specific procurement and billing requirements.

Procurement & Vendor Coordination

  • Coordinate with vendors for product availability and timely procurement.

  • Follow up on purchase orders, deliveries, and vendor commitments.

  • Maintain healthy relationships with suppliers and logistics partners.

  • Support negotiations for better pricing and delivery schedules.

Billing & Documentation

  • Ensure timely invoice generation and submission.

  • Verify GST, HSN codes, pricing, and supporting documents before invoicing.

  • Maintain records of quotations, purchase orders, invoices, delivery challans, and GRNs.

  • Ensure documentation complies with customer and statutory requirements.

Inventory & Logistics Coordination

  • Coordinate with warehouse teams regarding stock availability.

  • Monitor inventory levels to minimize stock shortages.

  • Ensure timely dispatches and delivery tracking across PAN India.

  • Resolve logistics issues and coordinate with courier and transport partners.

Team Management

  • Train, mentor, and motivate back-office staff.

  • Allocate work, monitor productivity, and review team performance.

  • Conduct regular team meetings to improve coordination and service quality.

  • Foster a customer-focused and collaborative work environment.

Reporting & MIS

  • Prepare daily, weekly, and monthly MIS reports.

  • Track KPIs such as order processing time, dispatch timelines, billing accuracy, and customer service performance.

  • Present operational updates and improvement recommendations to management.

Required Qualifications

  • Bachelor's degree in Commerce, Business Administration, Management, or a related field.

  • 5–8 years of experience in back-office operations, order management, or operations management.

  • Minimum 2 years of experience leading a team.

  • Experience in B2B distribution, office supplies, FMCG, facility management, or corporate procurement is preferred.
