Job Summary:

The Back Office Executive - Loan File Login will be responsible for the accurate and efficient initial processing, verification, and logging of all incoming loan applications. This role is crucial in ensuring that loan files are complete, compliant, and ready for further processing by the credit and underwriting teams. The ideal candidate will possess a keen eye for detail, strong organizational skills, and a solid understanding of documentation requirements for various loan products.

Key Responsibilities:

  • Document Collection & Verification:

    • Receive, sort, and organize all physical and digital loan application documents (e.g., application forms, KYC documents, income proofs, property documents, business financials).

    • Thoroughly review all submitted documents for completeness, legibility, and accuracy as per company and regulatory guidelines.

    • Identify any missing, incorrect, or inconsistent information/documents and flag them for follow-up.

  • Loan File Login & Data Entry:

    • Accurately input all relevant applicant and loan details into the company's Loan Management System (LMS) or designated software.

    • Generate a unique loan file ID and ensure all documents are correctly tagged and linked to the respective application.

    • Maintain strict confidentiality and data integrity during the login process.

  • Communication & Coordination:

    • Communicate proactively with Sales/Front Office teams, DSAs, or applicants (as per process) to obtain pending documents or clarify discrepancies.

    • Coordinate with internal departments (e.g., Credit, Underwriting, Legal) to ensure smooth handover of complete loan files.

    • Provide status updates on logged files as required.

  • Record Keeping & Archiving:

    • Maintain systematic physical and digital archives of all loan documents.

    • Ensure all necessary checklists and internal tracking sheets are updated.

    • Assist in preparing files for internal/external audits as needed.

  • Compliance & Quality Assurance:

    • Adhere strictly to all company policies, procedures, and regulatory guidelines related to loan processing and documentation.

    • Assist in maintaining a high standard of data quality and process efficiency.

    • Proactively identify and escalate any potential issues or deviations from standard procedures.

Qualifications:

  • Education: Bachelor's degree in Commerce, Business Administration, Finance, or a related field.

  • Experience: 1-2 years of experience in a back-office role, preferably within the banking, financial services, or loan processing industry. Experience with loan documentation and login processes is highly preferred.

  • Knowledge: Basic understanding of various loan products (e.g., Home Loans, Business Loans, Personal Loans) and their standard documentation requirements.

  • Technical Skills:

    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
