Job Title: Back Office Executive – Automobile Industry
Job Summary:
The Back Office Executive is responsible for handling administrative, documentation, and coordination tasks to ensure smooth day-to-day operations of the showroom/service center. The role supports sales, service, and accounts teams by maintaining accurate records and efficient backend processes.
Key Responsibilities:
Maintain and update customer records, vehicle details, and service history in the system
Prepare invoices, quotations, delivery challans, and other documents
Coordinate with sales and service teams for order processing and vehicle delivery
Handle RTO documentation and follow-ups for vehicle registration
Manage stock records (vehicles, spare parts, accessories)
Assist in insurance and finance documentation processing
Ensure proper filing and documentation of all records
Handle customer queries over phone/email related to documentation and status updates
Generate daily, weekly, and monthly reports for management
Support billing and accounts team when required
Skills & Requirements:
Basic knowledge of automobile industry processes
Proficiency in MS Excel, Word, and dealership management systems (DMS)
Good communication and coordination skills
Attention to detail and accuracy in documentation
Ability to manage multiple tasks and meet deadlines
Qualification:
Graduate in any field (Commerce preferred)
1–3 years of experience in automobile showroom/service center preferred
