Job Description – Back Office Executive (Financial Services)

Position: Back Office Executive

Experience Required: 5–6 years

Location: Thane

Industry: Financial Services (Mutual Funds, Stock Broking, Unlisted Shares, SME IPOs)

Role Overview:

We are looking for an experienced Back Office Executive to handle end-to-end client servicing and back-end operations for our financial services business. The role involves handling KYC processes, portfolio-related back office tasks, client communication, and CRM-based lead management. The ideal candidate will ensure smooth operations, accurate compliance, and proactive client communication.

Key Responsibilities:

KYC & Compliance:

•⁠ ⁠Handle customer onboarding, KYC verification, and documentation in line with SEBI/AMFI norms.

•⁠ ⁠Maintain updated client records and ensure regulatory compliance.

Client Communication:

•⁠ ⁠Draft and send regular emailers/newsletters through company portals (market updates, portfolio insights, product information).

•⁠ ⁠Schedule and send automated greetings such as birthday/anniversary wishes.

•⁠ ⁠Support client query resolution and escalate when required.

Back Office Operations:

•⁠ ⁠Manage stock market-related back office work including contract notes, reconciliation, and reporting.

•⁠ ⁠Handle documentation and transactions related to unlisted shares and SME IPOs.

CRM & Lead Management:

•⁠ ⁠Use the CRM portal to update, track, and follow up on leads.

•⁠ ⁠Support sales/advisory team with CRM-based insights and reminders.

•⁠ ⁠Ensure timely follow-up for client onboarding, renewals, and product offerings.

Coordination & Support:

•⁠ ⁠Support sales and advisory teams with required data and reports.

•⁠ ⁠Ensure timely follow-up with customers for pending documents, renewals, or compliance.

Desired Candidate Profile:

1) 1-3 years of relevant experience in financial services back office operations.

2) Knowledge of Mutual Funds, Stock Markets, and Unlisted Shares is preferred

3) Familiar with KYC, compliance, and regulatory frameworks (SEBI/AMFI).

4) Proficient in operating MS Office and other portal after training

5) Good written and verbal communication skills.

6) Organized, detail-oriented, and able to manage multiple tasks efficiently.
