Job Title: Quotation & Tender Executive – Laboratory Equipment
Job Summary.
We are seeking a motivated Quotation & Tender Executive to manage quotation preparation and tender submissions for laboratory equipment and scientific instruments.
The role involves coordinating with suppliers, technical teams, and the sales department to create accurate, competitive, and compliant proposals for customers and government/academic tenders.
Key Responsibilities Review customer inquiries, RFQs, and tender documents related to laboratory equipment and consumables.
Prepare timely and accurate quotations, including pricing, technical specifications, and commercial terms.
Understand product features of lab instruments (e.g., analyzers, microscopes, testing equipment) to create clear proposals.
Coordinate with suppliers/principals for updated pricing, product details, datasheets, brochures, and certificates.
Prepare complete tender documentation (technical bid, commercial bid, compliance sheets, declarations, EMD details, etc.).
Upload tender submissions on various tender portals (GeM, CPPP, state tenders, etc.).
Maintain a database of quotations, tenders, rate contracts, and client communications.
Follow up with clients and sales team on submitted quotations and tender status.
Ensure all submissions meet eligibility, technical, and commercial requirements.
Support sales team in negotiations through detailed costing and comparison reports.
Skills & Qualifications Bachelor's degree (Science, Biotechnology, Pharmacy, or related background preferred; Commerce graduates also accepted with relevant experience).
1–3 years of experience in quotation, tendering, or sales coordination in the laboratory equipment/scientific instruments sector.
Strong knowledge of laboratory instruments, consumables, and vendor pricing.
Proficiency in MS Excel, Word, and PDF tools.
Good communication, coordination, and documentation skills.
Ability to interpret technical specifications and tender requirements.
Strong attention to detail and ability to work under tight deadlines.
Preferred Attributes Experience with GeM, CPPP, e-tender portals, and government tender procedures.
Familiarity with laboratory brands, distributors, and supplier networks.
Ability to multitask and handle multiple tenders simultaneously.
