Key Responsibilities
Transaction Management
Manage and track all real estate transactions from contract to close.
Review purchase agreements and ensure all required documentation is completed accurately.
Maintain compliance with brokerage, state, and federal regulations.
Coordinate deadlines, contingency dates, and required deliverables.
Serve as the main point of contact for clients regarding transaction progress.
Communicate updates to agents, lenders, title companies, inspectors, appraisers, and other
relevant parties.
Documentation & Data Management
Prepare, gather, and organize all necessary paperwork for listings, offers, and closings.
Maintain accurate digital and physical filing systems.
Enter and update transaction data into CRM and transaction management platforms.
Review and ensure compliance of listing files and contract files.
Process Coordination & Support
Assist agents with listing preparation (MLS entry, photography scheduling, signage
coordination, etc.).
Monitor workflow processes and identify opportunities for improvement.
Provide administrative support such as preparing reports, generating contracts, and handling
correspondence.
Financial & Closing Support
Track earnest money, commission agreements, and invoices.
Prepare closing packets and ensure required signatures and documents are completed.
Confirm commission disbursement authorizations and coordinate with accounting.
