Job Description

Key Responsibilities

Transaction Management

 Manage and track all real estate transactions from contract to close.

 Review purchase agreements and ensure all required documentation is completed accurately.

 Maintain compliance with brokerage, state, and federal regulations.

 Coordinate deadlines, contingency dates, and required deliverables.

 Serve as the main point of contact for clients regarding transaction progress.

 Communicate updates to agents, lenders, title companies, inspectors, appraisers, and other

relevant parties.

Documentation & Data Management

 Prepare, gather, and organize all necessary paperwork for listings, offers, and closings.

 Maintain accurate digital and physical filing systems.

 Enter and update transaction data into CRM and transaction management platforms.

 Review and ensure compliance of listing files and contract files.

Process Coordination & Support

 Assist agents with listing preparation (MLS entry, photography scheduling, signage

coordination, etc.).

 Monitor workflow processes and identify opportunities for improvement.

 Provide administrative support such as preparing reports, generating contracts, and handling

correspondence.

Financial & Closing Support

 Track earnest money, commission agreements, and invoices.

 Prepare closing packets and ensure required signatures and documents are completed.

 Confirm commission disbursement authorizations and coordinate with accounting.
