Job Description

Job Description – Coordination Executive

 

Role Summary

 

The Coordination Executive will be responsible for coordinating with customers and vendors for scheduling site visits, maintaining MIS records, updating case statuses, and ensuring timely execution of operational activities as per client-defined timelines.

 

Key Responsibilities

  • Contact customers to present the company’s services and seek appointments for site visits.

  • Coordinate with customers for appointment confirmations and follow-ups on call backs / ringing cases.

  • Extract case details from the client portal on a timely basis; update and maintain daily MIS records accurately.

  • Ensure timely status updates of cases as per client-defined TATs.

  • Coordinate with site visit partners/vendors for smooth execution of visits.

  • Share visit details and follow up with vendors for timely completion.

  • Conduct daily reporting and provide operational updates to management

  • Track pending cases and escalate delayed, critical, or unserviceable cases wherever required.

  • Coordinate effectively with internal teams, client SPOCs, and field vendors to ensure smooth execution.

  • Maintain proper call records, communication logs, and supporting documentation for audit/reference purposes.

  • Handle customer queries professionally and ensure positive customer interaction.

  • Ensure adherence to process guidelines, client instructions, and data confidentiality requirements.

  • Support the team during high-volume periods and critical operational timelines.

  • Be flexible to undertake additional operational responsibilities as required by the business.

 

Required Skills

  • Good verbal (English) and written communication skills.

  • Basic knowledge of MS Excel and MIS handling.

  • Strong follow-up and coordination abilities.

  • Ability to manage multiple cases simultaneously.

  • Good interpersonal and customer handling skills.

  • Ability to work in a deadline-driven environment.

 

Preferred Qualification

  • Graduate and above

  • Prior experience in operations coordination, customer service, or backend process management preferred.

 

Experience

  • 0–1 year of relevant experience preferred.
