We are seeking a highly motivated and versatile Office Coordinator & Outreach Specialist to be the energetic heartbeat of our office and a key driver in promoting our mission and work. Key Responsibilities:
1. Office Coordination & Administration:
Serve as the primary point of contact for office visitors, calls, and general inquiries, providing exceptional customer service.
Manage daily office operations, including supplies inventory, equipment maintenance, and liaising with vendors/service providers.
Coordinate meeting schedules, room bookings, and catering for internal and external meetings.
Assist with basic administrative tasks such as filing, data entry, mail distribution, and managing shared calendars.
Ensure the office environment is clean, organized, professional, and welcoming.
Provide support to other departments as needed for administrative tasks.
2. Outreach & Promotion (Tele Calling & Emailing):
Conduct targeted outbound tele-calling campaigns to introduce [Company Name]'s work, services, or initiatives to potential clients, partners, donors, or stakeholders.
Manage and execute professional email outreach campaigns, including drafting, sending, tracking responses, and follow-ups.
Maintain accurate and up-to-date records of all tele-calling and email interactions in the designated CRM/database.
Articulate our company's value proposition clearly and persuasively in all communications.
Generate leads and schedule appointments or meetings for relevant team members (e.g., Business Development, Program Managers).
3. Event Management:
Assist in the planning, coordination, and execution of company events, including conferences, workshops, seminars, networking events, and community outreach programs.
Manage event logistics: venue sourcing, vendor coordination (catering, AV, signage), registration processes, attendee communication, and on-site support.
Develop event timelines, budgets (with oversight), and promotional materials.
Ensure events run smoothly, professionally, and achieve their objectives (e.g., brand awareness, lead generation, stakeholder engagement).
4. NGO Membership Drives & Partnership Support:
Take a lead role in developing and implementing strategies to drive memberships or partnerships with relevant Non-Governmental Organizations (NGOs) and community groups.
Research and identify potential NGO partners aligned with [Company Name]'s mission and goals.
Initiate contact, build relationships, and present the benefits of collaboration or membership to NGO representatives.
Track membership/partnership applications, process renewals, and maintain a database of NGO contacts.
Collaborate with program teams to ensure seamless integration and mutual benefit from NGO partnerships.
