Responsibilities:
Inventory Management:
Monitor and manage inventory levels, ensuring adequate stock is maintained at all times.
Execute regular inventory audits and reconciliation to prevent stock discrepancies.
Process orders and track shipments, coordinating with suppliers when necessary.
Maintain an organized inventory database and update records in a timely manner.
Bookkeeping:
Assist in managing financial records, including accounts payable and receivable.
Prepare and process invoices and receipts, ensuring accuracy in financial documentation.
Maintain the general ledger and assist in monthly and year-end closing activities.
Support the preparation of financial statements and reports.
Excel Proficiency:
Utilize Excel for data entry, financial analysis, and to create reports and charts.
Develop and maintain spreadsheets that track inventory and financial data.
Analyze trends and provide insights to improve operational efficiency.
Taxation and Compliance (Preferred):
Assist in preparing tax documents and ensure compliance with relevant tax laws and regulations.
Maintain awareness of updates to tax legislation and compliance requirements.
Collaborate with external accountants as needed to support financial reporting and tax submissions.
General Administrative Support:
Provide general administrative support to the office, including handling correspondence and managing schedules.
Maintain filing systems and ensure all documents are organized and accessible.
Assist with various ad-hoc tasks and projects as required.
Qualifications:
Proven experience as an Office Assistant, Administrative Assistant, or in a similar role.
Strong experience in inventory management and bookkeeping.
Proficient in Microsoft Excel; familiarity with other Microsoft Office applications is a plus.
Basic knowledge of taxation and compliance regulations is preferred.
Excellent organizational skills and attention to detail.
Strong communication skills, both verbal and written.
Ability to work independently as well as part of a team.
High level of integrity and professionalism in handling sensitive information.
Education:
High school diploma required; an associate degree in finance, accounting, or a related field is a plus.
Relevant certifications in bookkeeping or office administration are desirable.
