Job Description

Role Overview

The Admin / Backend Executive is responsible for providing administrative and back-office support to ensure smooth day-to-day operations. This role involves handling documentation, coordinating with internal teams, maintaining records, and supporting sales and installation teams with backend processes.


Key Responsibilities

  • Manage and maintain customer records, documents, and data accurately

  • Prepare, update, and organize quotations, proposals, invoices, and reports

  • Coordinate with sales, installation, and operations teams for job progress updates

  • Handle email communication, follow-ups, and internal coordination

  • Upload and manage documents on CRM systems and internal portals

  • Assist with rebate applications, compliance paperwork, and approvals

  • Ensure all backend processes are completed within timelines

  • Maintain proper filing systems (digital and physical)

  • Support management with administrative tasks and reporting


Skills & Requirements

  • Basic to good knowledge of MS Excel, Word, and email communication

  • Strong organizational and time-management skills

  • Attention to detail and accuracy in documentation

  • Ability to coordinate with multiple teams

  • Good written and verbal communication skills

  • Ability to work independently and handle pressure

  • Prior admin/back-office experience preferred (but not mandatory)
