Executive Assistant (Admin) – Roles & Responsibilities

1. Administrative Support

•Provide high-level administrative support to senior management.

•Manage schedules, appointments, and meetings.

•Handle correspondence (emails, letters, memos) and follow-ups.

2. Office Management

•Oversee daily office operations to ensure smooth functioning.

•Maintain office supplies, equipment, and vendor coordination.

•Ensure cleanliness, orderliness, and professional office appearance.

3. Communication Handling

•Act as the point of contact between executives and internal/external stakeholders.

•Handle telephone calls professionally and relay accurate messages.

•Coordinate with clients and visitors on behalf of management.

4. Documentation & Filing

•Maintain organized filing systems (digital and physical).

•Prepare reports, presentations, and meeting agendas as required.

•Maintain confidentiality of sensitive company information.

5. Meeting & Travel Coordination

•Organize internal/external meetings and prepare meeting minutes.

•Coordinate travel plans, bookings, and itineraries for executives.

6. Compliance & Record-Keeping

•Ensure administrative tasks comply with company policies and standards.

•Assist in maintaining HR, finance, or compliance records when required.

7. Event & Facility Management

•Support in organizing company events, meetings, or celebrations.

•Liaise with facility management for repairs and maintenance needs.
