Job Summary:
As an Executive Assistant in the Admin department at NI Consulting Services Pvt Ltd, a professional audit and consulting firm, you will play a key role in supporting senior management through efficient administrative operations. Your responsibilities will include managing calendars, coordinating client meetings, handling confidential audit documentation, organizing office logistics, and acting as a liaison between internal teams and external clients. The role requires excellent communication skills, strong organizational abilities, and a high degree of professionalism to ensure smooth execution of both administrative and audit-related activities.
Roles & Responsibilities
Assigning:
• Assign day-to-day tasks and responsibilities to staff as directed by management.
• Ensure work is distributed efficiently among team members.
• Follow up on assigned tasks to check progress and completion.
Filing:
• Maintain proper filing systems (digital & physical) for easy record retrieval.
• Organize and update client, student, and office records.
• Ensure confidentiality of sensitive documents.
Scheduling:
• Arrange and coordinate meetings, appointments, and events.
• Prepare agendas and circulate meeting notes.
• Manage calendars and send reminders to management and staff.
Allocating Tasks:
• Delegate administrative duties to support staff.
• Ensure clarity of work instructions while allocating tasks.
• Track task deadlines and ensure accountability.
Monitoring the Employees:
• Oversee daily office activities and staff performance.
• Ensure employees complete assigned work on time.
• Report progress, issues, and concerns to management.
Communication & Coordination:
• Act as a point of contact between management, staff, students, and external parties.
• Circulate notices, memos, and updates.
• Maintain professional correspondence (emails, letters, reports).
Office & Admin Operations:
• Oversee office supplies, IT support requests, maintenance, and overall office environment.
• Assist in onboarding and coordination with HR for new audit staff or interns.
• Support travel bookings, accommodation, and logistics for audit team movements.
