Document Scanning

Key Responsibilities

• Establish and maintain an effective document control system for all project documentation (drawings, correspondence, technical submittals, reports, etc.).

• Ensure that all documents are properly numbered, formatted, reviewed, approved, and distributed according to project and client requirements.

• Manage document flow between internal teams, consultants, contractors, and clients.

• Maintain revision control, ensuring the latest versions of documents are accessible to authorized users.

• Prepare and issue document transmittals and submittal logs.

• Track the status of submitted documents and follow up on approvals or feedback.

• Ensure that all documentation is in compliance with ISO and QA/QC standards.

• Support project teams by retrieving documents, drawings, and records when needed.

• Maintain both electronic and hard copy filing systems, ensuring traceability and easy retrieval.

• Assist in the preparation of handover documentation and as-built packages.

• Generate regular reports on documentation status for management.

• Coordinate with engineering, procurement, and site teams for timely submission and approval of deliverables.

Requirements

Education

• Diploma or Bachelor’s Degree in Civil / Mechanical / Electrical Engineering or equivalent qualification.

Experience

• Minimum 1–3 years of experience in document control within the construction, contracting, or EPC sector.

Technical Skills

• Proficiency in Document Management Systems (DMS) such as Aconex, Asite, SharePoint, or equivalent.

• Strong working knowledge of MS Office (Excel, Word, Outlook).

• Familiarity with AutoCAD viewer tools for drawing verification.

• Knowledge of ISO 9001:2015 document management standards preferred.
