Key Responsibilities
1. Accounting & Tally
Record daily sales, purchase, receipt, payment, journal and other accounting vouchers in Tally.
Ensure all entries are posted in the correct company/unit, ledger and voucher type.
Verify invoice details before making entries, including:
Supplier/customer name
GSTIN
Billing and shipping address
Invoice number and date
HSN/SAC
Quantity and rate
GST percentage and amount
Purchase/sales unit
Ensure purchase and sales invoices are properly supported with required documents.
Avoid duplicate or incorrect entries and immediately report discrepancies.
Maintain proper filing of physical and digital accounting documents.
2. Purchase Accounting
Verify purchase invoices against supporting documents such as purchase orders, receiving documents, bilty/LR and material details.
Check that material received is booked in the correct unit/location.
Coordinate with purchase, warehouse and logistics teams for missing documents.
Follow up for pending bills, bilty/LR and other supporting documents.
Ensure supplier invoices are correctly entered and GST details are accurate.
3. Sales & Billing
Prepare and verify sales invoices as per approved orders and rates.
Check customer GST details, billing/shipping address, HSN, quantity, rate and GST.
Coordinate with dispatch/logistics for e-way bills and supporting documents.
Ensure sales invoices are posted on time and in the correct unit.
4. Bank & Payment Work
Record bank receipts and payments in Tally.
Perform regular bank reconciliation.
Verify payment supporting documents before payment processing.
Maintain proper records of NEFT/RTGS and other bank transactions.
Coordinate with management for payment approvals.
5. GST & TDS
Assist in preparation and reconciliation of GST data.
Verify purchase GST/input tax credit with books and available records.
Assist in GSTR-1, GSTR-3B and other GST-related work.
Assist in TDS calculation, deduction, reconciliation and return-related work.
Maintain proper supporting documents for GST and TDS compliance.
6. Receivables & Payables
Maintain customer and supplier ledgers.
Prepare outstanding reports for receivables and payables.
Follow up with concerned departments for pending invoices/documents.
Reconcile customer and supplier accounts periodically.
Identify and report old or unusual outstanding balances.
7. Month-End & Audit Support
Assist in month-end closing activities.
Reconcile ledgers, bank accounts, customers and suppliers.
Provide required documents and information for internal/statutory audits.
Maintain proper records for audit verification.
Assist Senior Accountant/Accounts Manager in MIS and financial reporting.
Internal Controls
No accounting entry should be made without proper supporting documents.
Verify the correct unit/company before posting every purchase or sales transaction.
Any incorrect GST, address, rate, quantity or invoice detail must be reported and corrected promptly.
No alteration/deletion of accounting entries without proper authorization.
Maintain confidentiality of company financial and employee information.
Required Skills
Good knowledge of Tally Prime.
Knowledge of GST, TDS and basic accounting principles.
Good knowledge of MS Excel.
Knowledge of bank reconciliation and ledger reconciliation.
Good attention to detail.
Ability to identify accounting errors and discrepancies.
Good coordination and communication skills.
Ability to work within deadlines.
Educational Qualification
B.Com / M.Com / equivalent qualification preferred.
Practical experience in accounting and taxation will be an advantage.

Note: The Accounts Executive is responsible for maintaining accurate and timely accounting records and must immediately escalate any discrepancy, missing document or unauthorized transaction to the reporting manager.
